Protocol Against Covid 19 For A Happy Travel, Safe Travel!

With a view to resuming activity, after the mandatory break due to the pandemic, 365 Travel has drawn up a safety and prevention protocol with the aim of holding its trips and events with practical safety activities for our travelers, suppliers and workers.

The guidelines that we are introducing herein are subject to appropriate modifications as the needs evolve, but at the moment they are as follows:


– The car should be disinfected before every arrival (seats, all handles, interior door panel, windows, locks, exterior door handles, poles, etc.) and before picking up the passengers to prevent possible cross contamination.
– The buses and coaches used are loaded with a maximum of 50% of the permitted capacity in order to ensure a sufficient distance between passengers, unless otherwise instructed.
– Welcome is contactless. Drivers wear mouth and nose protectors and gloves. Luggage is loaded with gloves.
– Passengers are advised to wear mouth/nose protection masks on the buses/coaches and use the disinfectants provided on the buses in sufficient quantities to wash their hands.
– Whenever possible, only one door of the bus is opened to allow passengers to enter or leave the bus to ensure that they enter and leave the bus in sequence of their seats so that we can minimize the contact among them.
– The curtains and all other removable textiles will be removed, and especially headrests must be thoroughly disinfected too.
– If possible, disinfection mats are to be put in front of the bus to disinfect the soles of shoes before entering hotels or restaurants.
– The regulations of the local region regarding the limitation of guests at the places of interest and the necessary distance rules must be explicitly observed

Tour Guides

– Guides will ensure they are familiar with the most up-to-date public health guidelines and will adhere to these for the duration of the tour.
– Guides will always maintain government-recommended social distancing between themselves and clients. On tours where the group includes different households, guides will encourage and help clients to adopt appropriate social distancing between each other too.
– When guiding groups from different households, guides will follow government guidance to determine the maximum possible group size.
– Guides will avoid shaking hands or any other physical contact with clients.
– Guides will apply rigorous hygiene practices, including thoroughly cleaning and waiting for hands to dry before guiding, and use a personal hand sanitiser whenever possible.
– Badged guides will know where public toilets/hand-washing facilities/hand sanitiser points are available.
– Badged guides are experts in the tourist sites they visit with clients. Guides will ensure they are fully aware of sites’ specific Covid-19 requirements and comply with them.
– Badged guides know the towns and cities where they lead tours intricately. Guides will be familiar with more crowded areas and will make best efforts to negotiate them, or if appropriate, avoid them.
– Where appropriate, guides will liaise with coach companies and private vehicle companies and drivers to ensure vehicles have been thoroughly sanitized.
– Driver guides will ensure their vehicle is thoroughly cleaned inside after previous use. They will follow licensing authority and national Covid-19 regulations for cleaning their vehicles and maintaining air-conditioning systems. Driver guides will carry disinfecting wipes, hand sanitizers and paper towels in their cars, and will use face masks if appropriate.
– Guides wear masks and speak loudly enough so that all clients can hear them well.
– Guides need to take follow actions in case there is a client in a group found with possible symptoms of Covid 19 (like fever/dry cough/tiredness etc.):

  • Inform the sick client of the need to maintain the distance,
  • Work with the hotels to provide the sick client with contactless room service, if possible,
  • Provide the sick customer with face masks,
  • Contact local CDC to ask for a test or guidelines.


Hotel employees

– Need to take daily temperature check. Anyone whose body temperature exceeds 37.5o C and/or who claims to feel sick is instructed to stay home.
– Wear masks in direct contact with the guests and are sufficiently trained in the handling of the hygiene regulations of Covid-19.
– Work in fixed teams to reduce contact possibilities.

Hotel guests

– Fill in a health declaration sheet at the Front Desk upon check-in.
– Follow the hotel’s safety procedures, including body temperature check, hand washing, wearing mask at buffet stations and keeping social distancing.
– Inform the hotel staff of any disease-like symptoms and comply with instructions from hotel management.

Hotel facility

At Public Area
– The signs for the rules on distance & hygiene are clearly & visibly noticed at main gates, elevators, lifts, restaurants; bars; lounges…
– There are sufficient disinfectant dispensers in the entrance area of the hotels and guests are informed.
– In the lobby, elevator and public closed areas, guests are required to wear mouth and nose protectors.
– The main entrance door is sanitized every 30 minutes. High-touch surface are regularly disinfected in all common areas (doors, doorknobs, elevator buttons and handrails, stair railings, bellboy trolleys, etc.).
– All entertainment activities should be possible without close contact and by keeping a minimum distance of 1.50 m.
– At hotel restaurants generous distances should be maintained between the tables (min distance 1.50m whenever possible) and, if necessary, meal times per room/travel group are specified.
– Spa & Fitness Centre need more hygiene standards and regularly cleaned.

At Guest Room
– The basic cleaning of the rooms is done before the arrival of each guest with suitable disinfectants. Especially the pillows are thoroughly disinfected. Sufficient ventilation must also be ensured.
– High-touch surface are regularly disinfected in guestrooms (room keys, doors, doorknobs, switches, remote controls, etc.).
– Hand sanitizer and wet wipes are available in guestrooms.

At Restaurant and Lounge
– There are floor markers in waiting areas to remind guests of social distancing.
– Cutleries are wrapped, and touchless drink refilling is applied.
– Tables, menus and bill holders are disinfected frequently and after the guests leave.
– The buffet has been changed to a cafeteria model and service cutlery utensils have been removed.
– Restaurant and Lounge capacity as well as the number of guests per table have been reduced to comply with social distancing guidelines.
– All guests are required to wear sanitary mask in the buffet area.
– Service and kitchen staff are required to wear protective gloves and sanitary masks when preparing and serving food and drinks.

Meeting and Events
– Meeting room capacity as well as the number of guests per table have been reduced to comply with social distancing guidelines.
– Cleaning equipment in banquet rooms & banquet hall is enhanced.
– General air conditioning system also ensures maximum power to keep the air ventilation.
– All the guests will be obliged to wear face masks at the restaurants, cafes, bars and observe 1.5-2 meters social distancing.
– Passengers’ temperature will be checked by thermal screening to be allowed to enter the catering place.
– Seating capacity is reduced to allow tables to be spaced at least 2 meters apart and clients seated at least 1 meter apart.


– All the guests will be obliged to wear face masks at the restaurants, cafes, bars and observe 1.5-2 meters social distancing.
– Passengers’ temperature will be checked by thermal screening to be allowed to enter the catering place.
– Seating capacity is reduced to allow tables to be spaced at least 2 meters apart and clients seated at least 1 meter apart.

– Before entering restaurant/cafe thermo screening, hands sanitizing is must.
– Always keeping social distance is requested (2 m between tables: 1m distance between the back side of each chair)
– In case 2 m distance is not available due to small area, special protecting barriers between tables should be provided.
– Groups will be split into several tables, 5 – 6 guests per table (1m one from each other) (Exception: possible to use one table for family members and teenager under the age of 12).

Tourist Sites

Some of museums and tourist attractions have been reopened with some significant restrictions relating to Covid 19. Decreased physical contact, face mask use, distancing rules and hygiene requirements continue to apply throughout the country.


Before travelling, travelers need:

– Negative CV-19 PCR test certification from an authorized laboratory no more than 72 hours prior to the date of travel.
– All negative test certificates, flight and accommodation details and health declaration forms are to be e-mailed to [email protected] or to our sales prior to arrival in destination.
Clients must be able to provide vouchers and itineraries reflecting the entire duration of their stay to Immigration upon arrival. In the event that a client has not booked a certified accommodation or live aboard they will be directed to an alternative option that has been already certified. ***Any difference in price is at the clients’ own costs.
– Health declaration can be submitted online at Travel insurance with full medical cover is required for the entire duration of the client’s stay, including CV-19 cover.
– Airlines are required to ensure that all passengers submit their negative CV-19 PCR test results for verification at check-in upon departure where they are to also comply with all other airline protocols.
– Some airlines will also require passengers to have proof of negative CV-19 PCR tests.

General tips for Travelers

– Refuse to travel if you have a high temperature and cough.
– If you experience high fever, coughing and shortness of breath during your journey, immediately inform your local guide.
– Avoid contact with people who have cough and fever.
– Wash your hands frequently with alcohol-based solutions or soap and water.
– Avoid touching nose, eyes and face with hands.
– When coughing or sneezing, cover your nose and mouth with a bent elbow or tissue / disposable paper towel. Then throw the tissue / disposable paper towel immediately and wash your hands.
– If you are wearing a protective mask, make sure it covers the nose and mouth, and do not touch it after it is done. Dispose a disposable mask after each use and wash your hands immediately.
– Avoid close contact with animals (dogs and cats) in the street.
– Change your mask a few times a day. In case you do not have face masks with you, or the number of masks are enough for a day, we may provide it to you. The cost will be 0.25 cents/each, which should be paid by you in cash or is included in your final invoice.

Rules for Travelers

– Every day before the tour, guide will make thermos screening of each group member.
– Each group member should have face mask and wear it in all public/ closed areas during the tour including museums and open-air museums.
– Using gloves, sanitizers and other protected equipment is strongly recommended during tour (sanitizer will be provided in each public place as well).
– Each client is obliged to bring a number of masks a day on tour (3 mask per day as minimum).
– During the tour recommended distance between the participants should be kept.
– If group member having symptoms of the Covid 19 (fever/dry cough/tiredness etc.), he/she must immediately inform our guide/ tour manager/ hotel administrator/ local emergency contact to get the instructions on what to do.
– Each client’s responsibility: If he/she fails to follow the local rules and guidelines that causes a penalty, he/she has to pay the penalty by his/her own.

Workers and Employers

All people at work are requested to:
– Wear masks when travelling.
– Frequently wash their hands with soap and water or alcohol based hand sanitizers.
– Avoid touching your eyes, nose, or mouth with unwashed hands.
– Practice good respiratory etiquette, including covering coughs and sneezes.
– Avoid close contact with people who are sick.
– Stay home if sick or in contact with person with possible symptoms of Covid 19.
– Know how to recognize personal risk factors.

Travelers with symptoms of COVID 19 or those concerned they may have been exposed to the SARS-CoV-2 virus should call Vietnam’s health hotline 1900 3228 / 1900 9095 for the guidelines.
